PRE-EXAMINATION 

All the preliminary works for the conduct of Examinations will be started from the 1st working day of each Semester. The various activities done during the Pre-Examination is listed below.

Allotment of Register Numbers to the 1st year Students:

  • Receiving the admitted students list from the College office (Programme-wise) 
  • Allotting register numbers in Alphabetic order from the Software. 
  • Once the register number is allocated, it will be communicated to the Students through the concerned Head of the Department and the copy of the same will be sent to the College office.

Construction of the Course Database:

  • Part I - Languages List will be collected from the Department and the same the will be entered in the software. 
  • Part II – English, Part III - Discipline Centric Core, Generic Cluster Core , Supportive Allied Courses , Laboratory Courses, Ability Enhancement Courses, Part IV - Compulsory Foundation Courses and will be uploaded in the software followed by Part I Courses.
  • Then the List of Electives selected by the students in that particular Semester will be uploaded. 
  • Part V- Extension Courses will be uploaded after the entry of Elective Courses. 
  • Extra Credit Course List selected by the individual students will be uploaded.

Rules for Registering Extra Credit Course:

  • As on date, the Student should not have any arrear. 
  • The extra-credit course(s) should be chosen from the list of previous semester courses. 
  • UG Students can take only UG Level Courses and PG Students can take only PG Level Courses offered by other Departments. 
  • After confirmation of the registration, the Student cannot withdraw the Course. 
  • Examination fee will be collected along with the Regular Examination Fee. 
  • No second chance will be given for the students who are failing in the Extra Credit Course. 
  • There is no Internal Assessment for Extra Credit Course.

Photo Confirmation List:

For the students admitted in the first year, Photos will be collected from the students during admission time and the same will be uploaded in the software. The details of the students will be sent to the Department for verification. Once it’s confirmed it will be approved for further process. The Grade cards, Consolidated Grade Cards and the Hall tickets will possess each student photographs which is considered as one of the Security measure.

Examination Registration Form:

Once the Course database is finalized, Programme-wise Examination Registration form can be downloaded from the software. The same will be circulated to the students through the Heads of the Department. The Examination fee will be collected by the College Office as per the deadline given. Sufficient time will be given to the students for the Payment of fee.

Approval of Attendance entry:

The respective Class In-charges may upload the details of the attendance in the software which is duly approved by the Head of the Department and Head of the Institution. The Software will automatically categorize the various Attendance Proforma as given below. The same will be approved in the Software by the Controller of Examinations.

Updation of Examination Fee:

The Fee paid details will be received from the College Office for each Programmes and it will be entered in the software by the Staff Members of the Office of the Controller of Examinations.

Time Table:

Based on the registered candidates for the Examination, Programme wise Time Table will be generated from the Software. Various reports like Date wise, Class wise, Session wise may be taken from the software.

Printing of Hall Ticket:

Based on the Examination Fee Paid and the Attendance Proforma the Hall Ticket will be generated. The Hall Ticket consists of various features like Date of the Examination, Session, Course Code and Title of the Course. The Hall Tickets will be given one week before the commencement of the Examinations to the Departments for issue.

Internal Marks Entry:

The Internal marks for all the Courses may be entered in the software by the Class Incharge and the consolidated report of the Marks may be submitted in the Office of Controller of Examinations once it is approved by the Head of the Department and the Head of the Institution.

Galley Report & Hall Allocation:

Based on the Candidate Registration for the Examination and the Time Table Entry, Galley Report will be generated from the software by the Staff Members of the office of the Controller of Examinations. The reports like Date wise, Class wise, Session wise, Course wise may be taken from the software and the same will be used for Hall Allocation.

Question Paper Process:

  • Question Paper Stock – After the conduct of End Semester Examinations Question Paper Stock will be taken every Semester. Based on this, List of Courses which needs the Question Paper will be prepared. 
  • The Controller of Examinations is authorized to select the Examiners for Question Paper Setting based on the Subject Expertise from the Approved Examiners List. 
  • After getting the acceptance from the Question Paper setter, necessary materials related to the Question Paper setting process will be sent.

The materials include

  • Syllabus 
  • Question Paper Pattern 
  • Instruction to the Examiners 
  • Bloom’s Taxonomy action verbs 
  • Remuneration Bills 
  • Declaration Forms 
  • Form of Acceptance 
  • Cloth Cover 
  • Compact Disc 
  • Maximum 2/3 courses may be allocated to each setter. The Maximum period given for setting Question Paper will be around 3 weeks.
    •  Receiving of Question Papers 
  • The Question Papers from the setters will be received by the Controller of Examinations, the packet will be verified by him and it will be stored under his control. 
    • Scrutinization of Question Papers 
  • The Question Paper Packet will be opened on the day of scrutinization and it will be handed over to the respective Head of the Department for scrutinization. During Scrutinization, the following parameters will be checked. 
    • Pattern of the Question Paper 
    • Unit wise equal distribution 
    • Questions related to the syllabus 
    • Quality of the Question Paper 
  • Based on the feedback of the scrutinizer, if the question paper is not up to the level, Set II will be used or new Question Paper Setter will be appointed for that particular course after getting the Approval from the Chief Controller of Examinations.

Printing & Packing of Question Papers

After scrutinization of question papers, final draft of the question paper will be prepared. The copies of the Question Paper will be printed in the strong room in the presence of Controller of Examinations. The details of printing will be recorded separately. The Question Papers will be sealed and stored under the custody of COE. If any wastage during printing process it will be stored in the sealed wooden box which is placed in the Strong Room. The same will be destroyed only after the completion of all the Examinations for that particular semester.

Dispatch of Question Papers

The Question Papers will be handed over to the Chief Superintendent on the day of examination and it will be opened only 30 minutes before the commencement of the Examinations.

proforma 1 

75% of Attendance

Eligible to appear for the Examinations of Current Semester Courses.

Proforma – II

Between 65% - 74% of Attendance

Eligible to appear for the Examinations of Current Semester Courses, provided the shortage of attendance is condoned by the Principal by paying the Condonation fee

Proforma – III

Between 50% - 64% of Attendance

Not eligible to write the examinations of Current Semester Courses but will be permitted to continue their studies in the next Semester provided this is the first time that the candidate earned attendance between 50% and 64%. Else the candidate has to discontinue the Programme and re-join in the same Semester in the next Academic year with proper approval from the University. However, the candidates are eligible to write arrear Courses, if any. 

Proforma – IV

Below 49% of Attendance

Shall discontinue the Programme and re-join in the same semester in the next academic Year with proper approval from the University and eligible to write the arrear Courses.

Proforma – V

50% to 64% of Attendance (Previous semester) combined attendance 75% (current semester)

Eligible to write the Examinations of the Current Semester and the previous Semester Courses.

Proforma – VI

50% to 64% of Attendance (Previous semester) combined attendance between 65% and 75%

Eligible to appear for the examinations of the Current semester and previous semester Courses provided the shortage of attendance is condoned by the Principal after the candidate paying condonation fee.

Proforma – VIi

50% to 64% of Attendance (Previous semester) combined attendance 64% and below not compensated the shortage in attendance.

Shall discontinue the Programme and rejoin the Programme in the next Academic Year in the previous semester in which the candidate had the first shortage of attendance. They are eligible to write the arrear Courses and shall not appear for the current and previous semester Courses.
